INSTRUCTIONS FOR REQUESTING THE TRANSCRIPTION OF CIVIL STATUS DOCUMENTS
ISSUED IN IRELAND
Italian citizens who are abroad, even temporarily, must notify the competent Italian Consulate of their civil status events (Birth, Marriage, Civil Union, Death) that occurred in foreign territory. For divorces, see separate section. It is then the duty of the diplomatic or consular authority to transmit these documents to the competent Italian municipality in order to transcribe them in the civil status registers (Decree of the President of the Republic 03/11/2000, no. 396, art. 17). The original document issued by the Irish Civil Registry Office, duly translated, must be sent to the persons concerned to:
- Municipality of A.I.R.E. registration for Italian nationals residing in Ireland or regularly registered with another consular district
- Italian Commune of residence for compatriots residing in Italy
- Directly to the Italian Commune of residence, with certified translation.
NB For the translation of the original Certificate into Italian, the respective Guided Translation is available on the website, to be completed by correctly reporting in Italian all the data in English present in the Certificate.

Request for transcription in Italy of civil status records issued abroad
(other than those issued in Ireland)
Information notice
In order for a civil status record issued abroad (birth, marriage, civil union or death) to produce legal effects in Italy, it must be transcribed into the civil status registers of the competent Italian Municipality through the relevant Consular Office.
Italian citizens registered with A.I.R.E. (Registry of Italians Residing Abroad) and residing in Ireland may submit to this Embassy a request for the transcription of civil status records issued in a country other than Ireland, taking care to indicate in the relevant application form the reasons for the request and to attach the required documentation.
Required documentation
- DUB-SC/4 application form, duly completed and signed.
- Records issued by non-EU countries: a full copy (or other format provided for under local legislation) of the civil status record, in original form, bearing an Apostille (Hague Convention of 5 October 1961, where applicable, or legalised by the competent Italian diplomatic-consular authority.
- Translation of records issued by EU Member States: if the record is not issued in Italian and is not accompanied by the multilingual standard form provided for by Regulation (EU) 2016/1191, or if such form is not available or does not include the Italian language, an Italian translation must be provided in accordance with the applicable regulations.
- Records issued by EU Member States: pursuant to Regulation (EU) 2016/1191, civil status records (such as birth, marriage, civil union, divorce and death records) are exempt from legalisation and Apostille requirements when presented to the authorities of another EU Member State.
- Translation of records issued by non-EU countries: the Italian translation must bear an Apostille (where the country is a party to the Hague Convention of 5 October 1961) or be legalised by the competent Italian diplomatic-consular authority. Alternatively, an official sworn translation prepared before an Italian Court may be submitted, in accordance with applicable legislation.
- Copy of a valid identity document of all persons concerned: passport or identity card (front and back).
Important: original documents submitted for transcription become part of the official records of the procedure and cannot be returned. Applicants are therefore advised to request additional original copies from the issuing authority if they may need to use the documents for other purposes.
Warning: before sending the documentation, applicants are advised to verify that the record meets all the required formalities (full copy format, Apostille/legalisation where required, and translation where applicable). Submission of incomplete documentation may result in the suspension of the application until the missing documents or requirements are provided.
